There is a specific order in the process of signing an electronic document:

  • A user creates a document in Bitrix24, completes the data and sends it for signing.
  • Your company director (sender) signs the document.
  • After the document is signed by the sender, it is sent to the client for signing.
The new Bitrix24.Sign tool is an electronic signature, not a digital one. It is equivalent to a handwritten signature. Every country has its own laws and requirements for using electronic signatures. In some countries, a special agreement must be signed with the client to use an electronic signature. In addition, this method of signing is not allowed for all types of documents. Therefore, if you are not sure whether Bitrix24.Sign is suitable for signing your document, consult with lawyers. Trust in these signatures is the responsibility of the individual accepting the document.

 

Prepare and send a document for signature

In our example, we send a contract for consultancy services to our client right from the deal form in CRM. Generate a document and click Sign.

Sign

Add the required information about your counterparty and other desired elements to your document: specify the date of the document and your company details, customize the location of stamps and signatures in the document.

Specify the sender’s email or phone number. This might be your company director or another employee authorized to sign a document on behalf of your company. In our example, we specified the company director’s email. If all data are correct, send the document for signing.

How does the company director sign the document?

After we submit a document for signing, it is sent by email to our company director who checks it, uploads the stamp and the signature to the highlighted sections. Once the document is signed, it will be sent to another party.

How does the client sign the document?

At the next stage, the document is sent to the client. We specified his phone number as the way of confirmation, so he will receive a link to the document by sms. Our client fills in all the data we requested and uploads his signature. In our example, the client is an individual entity, that’s why we didn’t request the stamp.

Once the document is signed by the client, all parties will receive an email with a link to the final PDF file. We can download this document and make sure that the counterparty has not applied any changes in conditions or price. You can validate the integrity of the signed contract with the help of the special online service.

You may have a large number of documents. To navigate well among them you can use the Pipeline view in Bitrix24.Sign section. It helps the employees see which document is at the stage of approval and whom they need to call to remind about document signing.
